Club Manager Jack Allan Leaving - New Manager Required

Dear Members,

Jack Allan, our club manager, has decided to move on to a new opportunity for him and his family in the Lake District.

We thank him for all his exceptional work at the club over the last four years, especially over the Covid period joining us just four months after it all started. Jack has help streamline the operational running of the club bringing in the new Mycourts system, implementing the new coaches contract and project managed all the new changing rooms, courts and numerous other wonderful improvements. We thank Jack for all his hard work and commitment and wish him well in his new job and surroundings.

Club Manager - Job Description

Background

Over the past 4 years, Windsor Lawn Tennis Club has seen some major changes including court resurfacing, new LED floodlighting, Club House refurbishment and a shift to new online system MYCOURTS, to manage court bookings and membership.

The club currently has a record membership of over 820 members and we are looking for our new Club Manager to maintain the high level of service our members have become accustomed to, together with driving the club forward with the support of our proactive Committee.

The club has 8 outdoor floodlit courts, 3 indoor courts and an onsite bar/café and a large clubhouse area and terrace. We also have an onsite tennis shop and a physiotherapy suite. Our individual and group coaching sessions are managed by our Head Coach, Andy Mustill, under his company umbrella of Active Tennis, which is currently supported by 6 coaches. You will work closely with the Head Coach and Club Committee to deliver a high level of service to our members.

The role of the Club Manager will be varied and you will report directly to the Club Committee. Tasks will include the following:

Management of Club Tennis

  • Work with the Head Coach to provide club sessions for members as per club schedule
  • Ensure all courts are booked in the online booking system for club sessions and matches
  • Notify members of any changes to club sessions due to Bank Holidays etc
  • Manage court booking system MYCOURTS – liaise with software owner for updates and changes accordingly
  • Send Club Life newsletter to members
  • Book team matches on MYCOURTS ahead of each season – liaise with overall captains for fixture releases
  • Check Weekly Court Bookings including – team & events,
  • Manage member guest fees
  • Check bookings outside of clubhouse hours (new since introduction of indoor court access door 2023).
  • Update Shared folder with important club documents when required
  • Liaise with competition and tournament organisers

Management of the Club Facility

  • Follow facility schedule to ensure all checks of the facility are undertaken as they should be
  • Ensure any maintenance issues are resolved quickly using external contractors
  • Manage any grounds staff as required liaising with Andy Mustill
  • Organise and manage volunteers and programmes

Admin and Accounting

  • Manage admin and accounting part time assistant
  • Work closely with the Club Treasurer regarding club accounts
  • Regular check-ins with budget (set by treasurer) on mtd positions and performance

Membership

  • Respond to all membership enquiries
  • Manage the membership database and update as required
  • Follow up on overdue membership payments
  • Oversee monthly direct debit payments and track any failed payments.
  • Manage waiting list – via LOVEADMIN – contact people who join waiting list and update on expected wait until a space opens.

Liaising with the LTA

  • Register the club annually with the LTA
  • Provide action and development plans as required
  • Undertake training as required ie welfare and safeguarding
  • Have an up to date DBS check
  • Be the Site Welfare Officer

Marketing

  • Updating Website when required
  • Keeping club notice boards up to date
  • Posting club news on Social Media

Committee and Tennis Forum

  • Attend monthly Committee Meetings and prepare a Tennis Operations Report, Update membership figures, and energy tracker
  • Host the Tennis Forum and arrange meetings

ATT Shop

  • Liaise with the shop managers to provide a good level of service and range of products to members

Bar Manager

  • Keep Bar Manager up to date with changes to Club Tennis and all other items as required
  • Liaise with bar team for updated trackers of court no-shows, member issues, ball machine usage
  • Create sign up sheets to give bar team for events – ie social or tournament tickets on sale
  • Liaise with bar manager for team matches, match teas, match rearrangements, club sessions and changes, seasonal changes, committee meeting prep, event numbers, ticket costs.

Support Social Team

  • Volunteers run our social events with support from our Bar Manager. The Club Manager will support events and promote them accordingly.
