Office Conversion Project - Member Approval Vote

The Proposal: The Committee be authorised to spend c.£21,000 on the conversion of store room, to office space.

Dear Member,

In accordance with the club constitution the Committee must seek the approval of the members for capital expenditure on items over £20,000 within our financial year.

As we have already refurnished our club lounge area, we now seek approval for our next project – converting the store room (adjacent to One Health Physio) into an office space for Management staff – Club Manager, Head Coach & Accounts assistant.

The possibility of converting this space into an office has been under consideration for many years and was included in the current year budget. It is now considered by the Committee an essential upgrade for the club as the existing office space is very cramped and not easily accessible for visitors (through the shop).

As part of this project, the space which is currently used as an office will be made available to rent for All Things Tennis (ATT), which the committee feel is the most sensible and beneficial option all round.

ATT welcome this proposal, and extra space, which they will use to hold stock, benefiting all parties and club operations.

The additional income generated will cover the costs of converting the new office space, within about 5 years.

Details of Office Conversion:

To insulate and board all the walls internally with a suspended ceiling, allowing for 6 no. 600x600 LED panel lights, 25mm cellotex insulted floor with 22mm chipboard flooring, tape and joint walls and then decorate with 1 mist coat and 2 final coats of matt emulsion. Includes 4 double sockets, Paragon charcoal carpet tiles, a half glazed door, and fitting a window to the courts.

Members are now requested to vote on whether the club should invest £21,000 (inc VAT) on this project from existing club resources with the works likely to take place during September 2023. This amount includes VAT, a small proportion of which will be recoverable.
